lifecycle, including onboarding, development, retention, and offboarding. You will prepare employment contracts, amendments, and
other HR documentation, ensuring HR systems and employee records are accurately maintained and kept up to date.
You will provide first-line HR support to employees and management on a wide range of HR-related matters, including employee
benefits administration, as well as support processes related to absenteeism and leave management. In this role, you will work
extensively with Personio as our core HR system to efficiently manage employee data and HR workflows.
Furthermore, you will contribute to performance management and employee development initiatives, support HR projects and policy
improvements, and ensure compliance with applicable employment laws and internal company policies across multiple countries. This
includes working within different legal frameworks and HR regulations, requiring a strong ability to adapt and ensure compliance
in an international environment.
We are looking for a motivated and experienced HR professional to join our HR team. In this role, you will support and manage a
wide range of HR activities across the entire employee lifecycle, contributing to a positive employee experience and ensuring
smooth and efficient HR operations. As we are an international company with multiple offices around the world, you will work in a
dynamic, cross-border environment. You will work closely with both management and employees, playing an important role in
day-to-day operational HR tasks as well as ongoing HR development and improvement initiatives.

THE CANDIDATE You are a detail-oriented and proactive Payroll Specialist with experience managing international payroll in a fast-paced, multicultural environment. You take ownership of end-to-end payroll processes, ensuring accuracy, compliance, and timely delivery across multiple countries. Comfortable working with payroll systems such as ADP, you handle complex payroll structures, bonuses and monthly changes with confidence. You communicate clearly, work discreetly with sensitive data, and enjoy collaborating with HR, finance and external partners to continuously improve payroll operations. You will be the main contact/coordinate with the external payroll providers across the countries. THE ROLE As a Payroll Specialist, you are responsible for the end-to-end payroll administration for our employees across multiple countries. You ensure payroll runs smoothly, accurately, and in compliance with local legislation, while acting as a trusted point of contact for employees and internal stakeholders. In this role, your primary focus is HR administration, ensuring smooth processes across the employee lifecycle, including onboarding, documentation, reporting, and payroll. You will handle sensitive information with confidentiality and professionalism, and your attention to detail will help maintain the integrity of HR operations. KEY RESPONSIBILITIES Onboarding * Prepare offer letters, employment contracts, and all required onboarding documentation, ensuring accuracy and compliance with Dutch labour law. * Perform right-to-work and identity verification checks, and assist in coordinating first-day logistics for new employees. * Update the internal HR system with new hire information and track completion of mandatory onboarding steps. * Serve as the primary point of contact for new hires during their onboarding, ensuring a smooth and welcoming experience. HR Administration * Maintain accurate and up-to-date employee records in the HR system, including personal details, job changes, and absence records. * Prepare HR documents such as promotion letters, salary adjustments, contract extensions, and termination paperwork. * Support ad hoc requests for employee data, HR reporting, and internal/external references. * Ensure HR processes comply with internal guidelines and legal requirements, maintaining confidentiality and discretion at all times. HR Platform Optimization * Serve as the key administrator for the HR platform, ensuring it is always accurate, up-to-date, and fully functional for HR operations. * Continuously stay informed about platform features and updates to optimize workflows and administrative efficiency. * Provide guidance and support to colleagues on using the platform effectively for tasks such as reporting, onboarding, and employee record management. * Identify opportunities to streamline processes within the system and propos improvements to the HR team. Project Support * Assist with the implementation of HR initiatives, including new policies, process improvements, or staff engagement activities. * Participate in cross-functional HR projects, offering organizational support and ensuring deadlines and documentation standards are met. REQUIREMENTS * Strong written and verbal communication skills in Dutch and English. * Dutch is required due to the nature of the role, including compliance with Dutch labor law, payroll administration, interpretation of official documentation * Bachelor’s degree in Human Resources, Business Administration, or a related field. * At least 2–4 years of experience in an HR role with a strong administrative focus. * Proven experience processing payroll, handling employee records, onboarding, and HR reporting. * Understanding of payroll processes, employee lifecycle, and HR compliance requirements. Enthusiastic about administrative work, taking pride in accuracy and process efficiency, and contributing to a positive workplace environment. * Solid knowledge of Dutch labor law, employment regulations and HR best practices. * Highly organized and detail-oriented, with strong administrative skills. * Proficient in HR systems / HRIS platforms (e.g., Personio, AFAS) and MS Office Suite. * Ability to maintain accurate and confidential employee records. * Ability to prioritize tasks and manage multiple responsibilities simultaneously. * Sociable and able to build positive relationships with colleagues at all levels but at the same time able to separate personal relationships from professional responsibilities. * Proactive, adaptable, and solution-oriented with a can-do attitude. * Comfortable optimizing HR systems and learning new features to support administrative efficiency.
