About the role
Salary: £27,000 - £29,000 per annum + shift allowance
In this dynamic role, you will play a key part in ensuring a smooth and efficient customer journey by acting as a central point of
contact between DFDS, our customers, and internal stakeholders. You will proactively manage communication, support operational
planning, and uphold high service standards to meet and exceed client expectations. This position requires a collaborative and
solution-focused approach to deliver consistent, high-quality service within a fast-paced logistics environment.
Please note - This role requires you to work an 8-hour variable shift pattern on a 6-week rotating schedule. During Weeks 1–5,
shifts will be worked Monday to Friday, with Week 6 operating Tuesday to Saturday. Shifts will vary and include a mixture of days,
evenings, and nights to meet operational requirements.

Als Customer Operational Services Coördinator ben jij het eerste aanspreekpunt voor klanten en een cruciale schakel tussen terminal, douane, schepen, interne afdelingen en onze systemen. Samen met jouw afdeling maak je real-time impact: door jouw schakelkracht en overzicht weet je precies wanneer vracht aankomt en vertrekt en hoe je klanten soepel door het proces leidt. Be part of the movement - and play your part. About the role You will play a key role in ensuring the safe, efficient, and timely movement of freight through our ports. Working closely with customers, terminal operations, vessel crews, and internal stakeholders, you will manage bookings, monitor vessel schedules, coordinate port activities, and ensure all operational and customs documentation is completed accurately. This fast-paced role requires excellent attention to detail, strong communication skills, and the ability to respond proactively to operational challenges. There are 2 shift patterns available for this role, Monday - Friday and 4 on 4 off. You will be responsible for * Manage customer bookings by ensuring vessel capacity, customer allocations, and sailing schedules are maintained, while accurately processing bookings within agreed service levels. * Coordinate vessel arrivals, berthing, and sailings by liaising with terminals, pilotage authorities, customers, and internal departments to minimise delays and maintain operational efficiency. * Prepare, process, and verify all operational documentation, including customs clearances, hazardous cargo notifications, export paperwork, and pre-arrival/post-sailing documentation. * Monitor operational systems, including Phoenix and GTMS, to identify and resolve discrepancies, working collaboratively with terminal operations and other stakeholders to maintain service standards. * Deliver exceptional customer service by proactively communicating schedule changes, vessel delays, and operational updates while ensuring compliance with company procedures, regulatory requirements, and safety standards. * Support cross-functional projects in collaboration with the Route Director and Customer Experience team About you You are a proactive, organised, and customer-focused individual who thrives in a fast-paced operational environment. With strong IT skills and excellent attention to detail, you are comfortable working across multiple systems while managing competing priorities and meeting deadlines. Sales & Commercial Support * Support the Sales team with proposals, presentations and administrative documentation. * Maintain accurate customer and sales information in the CRM system. * Coordinate administrative activities that support customer projects and commercial processes. Office & Operations * Coordinate office administration and supplier agreements. * Manage administration related to company vehicles, mobile phones, insurance and other operational services. * Organise meetings, travel arrangements, catering and other practical office activities. * Continuously identify opportunities to improve administrative routines and ways of working. About you You are an organised and dependable professional who enjoys taking ownership and making things happen. You have a structured way of working, pay attention to detail and are comfortable managing several priorities at the same time. To succeed in this role, you likely have: * A bachelor’s degree in business administration or a related field, or equivalent professional experience. * At least five years of experience in administration, operations, office management, finance support or a similar position. * Experience working with ERP systems; Microsoft Dynamics and ExFlow are considered an advantage. * Good understanding of invoicing and administrative business processes. * Strong organisational and planning skills. * The ability to work independently while collaborating effectively with different stakeholders. * Professional proficiency in Finnish and English, both written and spoken.
