Operations support specialist

We are seeking a highly qualified and detail-oriented Project Coordinator to join our project management office. In this key operational role, you will act as a central link between project leadership, international workforce teams, clients, and external contractors.

You will be responsible for driving workforce mobilisation, managing complex compliance and security protocols, and overseeing administrative project governance across large-scale operations. This position requires strong analytical capabilities, structured coordination skills, and the ability to navigate regulatory standards in a dynamic, high-pressure project environment.

Key Responsibilities & Scope of Work:

Project Management Support & Operational Oversight:

Co-manage project administration frameworks and provide strategic operational support to the Project Management team and Project Director to ensure seamless execution of project deliverables.

Workforce Mobilisation & Onboarding Strategy:

Oversee and execute end-to-end workforce mobilisation, onboarding, and site deployment processes across complex international project environments.

Compliance & Security Management:

Manage compliance protocols regarding safety and security registrations, security clearance approvals, and mandatory HSE/site induction frameworks in accordance with local regulations and client standards.

Information Management & Process Tracking:

Maintain governance over project documentation, personnel records, and key performance administrative trackers to ensure audit readiness and operational efficiency.

Resource & Logistics Coordination:

Strategically coordinate international personnel rotations, complex travel logistics, site access permissions, and accommodation scheduling for key project staff.

Executive Reporting & Stakeholder Communication:

Prepare high-level project correspondence, analytical reports, and executive meeting documentation for senior leadership.

Stakeholder Relations & Liaison:

Act as a key interface between clients, contractors, regulatory bodies, and internal management to drive alignment and maintain optimal project workflows.

Quality Assurance & Governance:

Ensure strict adherence to project operating procedures, contractual documentation requirements, and client-specific regulatory compliance.
