Executive Office
The Embassy of Denmark in Stockholm is looking for a Personal Assistant to the Danish Ambassador on an open-ended local contract. As our new colleague in the administrative team, you will join the group of administrative staff who perform a wide range of various tasks with a high degree of individual responsibilities in a friendly, collaborative and dynamic work environment. Main tasks and responsibilities Tasks include but will depend on the priorities and needs of the Embassy at all times: . Calendar planning, including travels and coordination of meetings and conference attendance . Prepare meetings in collaboration with other embassy staff . Assist in coordinating the work of the Embassy's management group . Manage and respond to enquiries . Email distribution . Liaise with the Danish Ministry of Foreign Affairs . Planning of visits from Denmark . Other tasks as assigned by embassy management Profile and qualifications . Excellent organisational and planning skills . Strong communication and interpersonal skills . Ability to manage multiple tasks and priorities simultaneously . A proactive, service-minded and solution-oriented approach . High level of discretion and ability to handle confidential information . Relevant administrative work experience, preferably in an international environment . Proficiency in one of the Scandinavian languages is an asset as much communication is conducted in Danish. Good communication skills in written and spoken English is necessary . Well-versed in MS Office (Outlook, Word, PowerPoint etc.) . Ability to work independently while also being a strong team player . Calendar, inbox triage, meeting preparation, and follow-through all sit with you. You keep an eye on details and you keep the leadership cadence (weeklies, board preparation, offsites) moving. External travel and speaking. You plan and book complex international travel end to end, and you manage the speaking pipeline: inbound requests, selection, briefing packs, and logistics on the ground. C-level relationship management. You become the trusted point of contact for the CEO's most important external relationships: customers, partners, and investors. You track who needs a touchpoint and when, and protect these relationships through reliability and proactivity. Augmentation and anticipation. You work half a step ahead of everyone else in the room. You can identify a bottleneck before it forms. You build the systems, defaults and briefings that let the CEO spend their time on judgement rather than logistics. Admin. You manage expenses and finance admin and can support with occasional personal assistant (PA) duties as needed. CEO office collaboration. You’ll work in very close coordination with the CEO office, which includes a Chief of Staff and CEO Office Manager who are responsible for operational processes in the CEO office. Incl. performance management, KPI tracking, leadership accountability and strategic projects). Everyone works together in person because the hardest problems get solved faster at a whiteboard than in a Slack thread. Conversations happen faster, problems get solved quicker, and we actually know each other. Days start at 8:30. Lunch & dinner are together. We run, go to the gym, and take care of ourselves. Health is not separate from work here, it is part of how we work well. The vibe is calm but intense. No one is yelling or panicking. But everyone is working hard on things that matter. COMPENSATION Salaries are transparent and tied to levels, not negotiation. All roles include equity. We will figure out the right level together based on your experience and scope.
