The Role As a Senior People Operations Partner (France & UK), you will play a critical role in building and scaling AQEMIA's people infrastructure as the company continues its international growth. Acting as a strategic and operational HR partner, you will own and optimize People Operations processes across the employee lifecycle while ensuring compliance, operational excellence, and a seamless employee experience across France and the UK. You will collaborate closely with managers, employees, Payroll, Finance, Legal, and the broader People team to create scalable processes, leverage data for decision-making, and ensure our HR foundations support AQEMIA's ambitious growth plans. ABOUT THE ROLE We are looking for a highly organized, proactive Office Administrator to keep the office running smoothly, support the leadership team with essential administrative follow-through, and help create a great day-to-day workplace experience. This role spans: * Office & workplace administration * Light executive / calendar support * Onboarding & people admin logistics * Events & team rituals logistics * Project management of important administrative projects for the company * Cross-functional coordination and follow-through You will report to the COO and work closely with Operations while supporting all functions in the company. WHAT YOU’LL BE DOING 1) OFFICE & WORKPLACE ADMINISTRATION * Own day-to-day office operations: supplies, access, meeting rooms, vendors, equipment, workspace setup. * Handle ad hoc workplace needs (e.g., equipment, AC, monitors, shipping). * Be the operational point of contact for daily employee needs. * Ensure the office experience is smooth, welcoming, and well organized. 2) EVENTS, RITUALS & CULTURE LOGISTICS * Take initiative to own and organize internal events and team rituals (team gatherings, workshops, celebrations). * Organize company offsites / on-sites (logistics, bookings, schedules, follow-ups, on-site event management during the event itself). * Coordinate merchandise orders and distribution. 3) ADMIN PROJECT MANAGEMENT & FOLLOW-THROUGH * Own, track and drive follow-ups on key administrative workstreams (e.g., supporting legal or HR administrative tasks) to ensure nothing drops. * Coordinate documents, trackers, and workflows / deliverables across stakeholders so timelines are met. * Support change management for internal processes and tools (set-up, access, documentation, and ongoing tools administration). 4) CALENDAR + ONBOARDING SUPPORT * Provide light calendar support and scheduling help where needed. * Manage onboarding logistics (welcome packs, workstation setup, Day-1 schedule). * Support employee lifecycle admin in coordination with Operations/People (documentation, coordination with providers as needed). You will support the HR team by taking care of our employees, from the moment they sign the offer letter, to the moment they leave the company. In this role, you will ensure smooth HR operations, compliance with local labour laws, and efficient support for employees and managers across various HR functions. Payroll & Compliance: * Prepare all French and Belgium payroll inputs and submit them to the external provider on schedule. * Review and validate payroll outputs before they go final. * Guarantee full adherence to the relevant convention collective, overseeing compensation, leave, and working time to ensure local legal compliance. Employee Support: * Serve as the first point of contact for employees on pay, leave, benefits, and policies, resolving their queries through our ticketing tool, ServiceNow. * Communicate with employees via emails and Slack to address various concerns. HR Administration: * Manage employee files and handle administrative tasks such as contracts, addendums, and processes for foreign employees. * Oversee the management of employee absences and coordinate with the occupational doctor and health insurance providers. * Participate in the onboarding and offboarding processes to ensure smooth transitions. * Manage lunch vouchers and CESU checks HR Data & Reporting: * Enter and maintain employment data in our HRIS, Workday, keeping all tools and data up to date. * Prepare HR reports to provide insights and updates to the management team. * Support the establishment and ongoing administration of the CSE as required. Cross-Market Collaboration: * Dedicate some time to supporting other markets, including projects with foreign colleagues.
