ABOUT THE ROLE: We're looking for a Senior HR Operations & Payroll Specialist to own the full HR operations function in Poland. This is a hands-on, high-ownership role at the heart of the employee lifecycle - from onboarding to offboarding, payroll accuracy to compliance, and everything in between. We’re seeking a highly motivated individual who can help improve and automate our Poland processes and flex to support other European entities (E.g. NL + UK) when required (e.g. holiday coverage, large projects, etc.) IDEAL CANDIDATE * At least 5 years of experience in HR administration and payroll, ideally within an international environment. * Solid understanding of Polish labor law regulations, payroll, compensation and benefits. * English proficiency at a minimum B2 level. * Strong google sheets skills, including formulas, pivot tables, and data analysis. * Proactive approach with strong analytical thinking and problem-solving skills. * High attention to detail and accuracy in maintaining records and data. * Proactively identifying improvement opportunities and driving the necessary improvements. * Strong organizational and time management skills, with the ability to prioritize effectively and meet deadlines. * Ability to work independently in a fast-paced, dynamic environment while managing multiple responsibilities. * Strong understanding of data confidentiality and compliance with payroll and labor law requirements. * Experience with BambooHR, Jira, Google Suite, Slack, and Confluence is a plus YOUR RESPONSIBILITIES * Own end-to-end HR operations for Poland * Lead the monthly payroll cycle - from data collection and validation to coordination with our external payroll provider - ensuring accuracy every time * Maintain audit-ready payroll records, employee documentation, and compliance with Polish labour law and regulatory requirements * Serve as the primary point of contact for employee queries on HR admin and payroll, providing clear and timely responses (via JIRA) * Administer occupational health processes, including issuing medical examination referrals * Manage sick leave, maternity-related absences, and working time regulations in the system, ensuring compliance and smooth communication with employees and stakeholders * Administer employee benefits across Poland, keeping programmes accurate and up to date * Prepare and maintain country-specific employment templates and documentation in partnership with internal and external legal teams * Run payroll controls and variance analysis to identify and resolve discrepancies before they become issues * Keep BambooHR accurate and up to date — processing employee changes, promotions, transfers, and contract updates with precision * Contribute to HR Operations projects including process improvements, automation initiatives, and system integrations * Partner with cross-functional teams to deliver a consistent, seamless employee experience

You will support the HR team by taking care of our employees, from the moment they sign the offer letter, to the moment they leave the company. In this role, you will ensure smooth HR operations, compliance with local labour laws, and efficient support for employees and managers across various HR functions. You will also manage large volumes of HR data, ensuring accuracy, confidentiality, and effective reporting. Payroll & Compliance: * Prepare all French and Belgium payroll inputs and submit them to the external provider on schedule. * Review and validate payroll outputs before they go final. * Guarantee full adherence to the relevant convention collective, overseeing compensation, leave, and working time to ensure local legal compliance. Employee Support: * Serve as the first point of contact for employees on pay, leave, benefits, and policies, resolving their queries through our ticketing tool, ServiceNow. * Communicate with employees via emails and Slack to address various concerns. HR Administration: * Manage employee files and handle administrative tasks such as contracts, addendums, and processes for foreign employees. * Oversee the management of employee absences and coordinate with the occupational doctor and health insurance providers. * Participate in the onboarding and offboarding processes to ensure smooth transitions. * Manage lunch vouchers and CESU checks HR Data & Reporting: * Enter and maintain employment data in our HRIS, Workday, keeping all tools and data up to date. * Prepare HR reports to provide insights and updates to the management team. * Support the establishment and ongoing administration of the CSE as required. Cross-Market Collaboration: * Dedicate some time to supporting other markets, including projects with foreign colleagues. WHAT YOU’LL BE DOING As a Senior Regional HR Specialist, you'll combine hands-on HR operations with business partnering and project work. You'll work closely with managers and stakeholders across the business, helping them navigate people topics while continuously improving how we work. Day-to-day in this role you'll: * Partner with managers on a broad range of people matters, including employee relations, performance, organizational changes, and leadership support. * Provide guidance on Danish labor law, collective bargaining agreements, company policies, and employee lifecycle processes. * Drive high-quality HR operations, including employment documentation, Workday maintenance, payroll-related coordination, and employee administration. * Lead and contribute to regional HR projects, initiatives, and process improvements that support business growth and scalability. * Partner closely with Payroll and other stakeholders to ensure accurate data, compliance, and a seamless employee experience. * Support onboarding, training, and capability-building initiatives for managers and employees. * Identify opportunities to improve processes, systems, and ways of working through automation, technology, and AI-enabled solutions. OUR HUMBLE EXPECTATIONS * 6+ years of HR experience combining HR Operations and HR Business Partnering responsibilities. * Strong knowledge of Danish employment law and experience handling employee relations cases, investigations, disciplinary processes, and terminations. * Experience supporting managers and employees in a fast-paced operational environment. * Comfortable working independently, managing multiple priorities, and driving projects forward with a high degree of ownership. * Experience partnering with Payroll and understanding how HR operations, systems, and data quality impact compliance and employee experience. * Fluent Danish and English communication skills, both written and spoken.
