individuals with disabilities in 12 states. We are now hiring a Full-Time Administrative Assistant to provide support in Forked,
New Jersey. The Administrative Assistant provides administrative and secretarial support including arranging meetings,
conferences, obtaining supplies, coordinating direct mailings, and working on special projects. Responsibilities Schedule and
organize appointments, meetings, travel, and conferences Screen incoming calls, denote detailed messages, and transfer calls to
appropriate staff members Order office supplies and maintain office equipment Establish, develop, and maintain filing system
Maintain daily and monthly schedules for all necessary staff to determine location and availability Organize and prioritize large
volumes of information and calls Complete typing and copying as needed for management staff Open, sort, and distribute mail
Maintain a neat and orderly office and reception area Work independently and within a team on special non-recurring and ongoing
projects Maintain conference room usage log Additional tasks and responsibilities may be assigned Employee must cooperate with the
license and department staff in any inspection, inquiry, or investigation. Minimum Requirements High school diploma or GED Two
years of related administrative experience Valid driver’s license with a satisfactory driving record Proficient in Microsoft

As an Administrative Assistant, you will provide comprehensive support to a group of senior leaders in a fast-paced trading and research environment. You will work directly with direct stakeholders, coordinate with external parties, and play a critical role in ensuring strong communication across the organization. This position requires on-site work from our Chicago office at least four days per week. Your Core Responsibilities: * Provide day-to-day administrative support for up to four senior managers. * Manage complex calendars, schedule meetings, and coordinate across time zones. * Coordinate on-site logistics for meetings and presentations, such as audio/visual, meeting rooms, agendas, and meals as needed. * Manage travel logistics, including accommodations, transportation, and meals, according to IMC’s policies. * Manage and submit business expenses and prepare reports on such as needed. * Assist stakeholders with internal and external communications, activity and event planning, and space planning. * Liaise with Events team on event logistics, venues, transportation, menus, etc. Your Skills and Experience: * 4+ years of experience in an administrative role supporting senior managers; experience supporting multiple people preferred. * Must be highly organized and detail-oriented with an ability to manage multiple individual preferences and requirements. * Excellent written and verbal communication skills. * Strong time management skills and an ability to organize and coordinate multiple concurrent projects. * Proficiency with MS Office suite (Outlook, Excel, Word) and an aptitude for learning new software and systems. * Flexible team player, willing to adapt to changes and tackle new challenges. * Ability to handle confidential and sensitive information with discretion. Entry-level office position with administrative functions within accounting, collections, sales, and any other general administrative duties required. Works closely with Accounting Manager to support general accounting and business functions, specifically billing and accounts receivables functions. May provide back up as receptionist. Essential Functions • Complete, submit, track, and document waiver requests • Resolve any issues restricting waivers from being issued • Mail/email monthly statements and requested invoice copies • Scan and email pay applications to general contractors per request of project accounts • File paid pay applications • Work with project managers and project accountants to help collect miscellaneous billings over 90 days • Apply payments and assist with cash spreadsheet and cash sales • Run credit cards for customers as needed • Perform monthly credit card reconciliation • Other relative duties as assigned Minimum Qualifications • High School Diploma, or an equivalent combination of education/experience • Current and valid US driver’s license preferred • Must pass pre-employment background check and drug test Knowledge, Skills and Abilities • Excellent organizational skills • Strong PC and systems skills required • Proficient in Microsoft Office Suite, especially Excel • Thorough knowledge of general accounting and financial processes • Excellent verbal and written communication skills required Physical Demands The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
