About the Role
As the Office Responsible, you will be the first point of contact for many of our customers and a central figure in our day-to-day operations. You will handle booking and pre-booking coordination, assist with post-rental customer service, and manage internal support functions such as invoicing and payment allocations.
You will also provide critical backup to our rental agent team when needed, offering variety and ensuring smooth operations across departments. This position requires strong communication skills, a proactive mindset, and the ability to stay focused when working with complex information.
We are looking for a candidate who brings prior experience in coordination work or a similar office-based role, and is comfortable taking ownership of tasks in a structured and organized manner.
Key Responsibilities
Provide customer support before, during, and after the booking process through email, phone, and online chat
Manage booking entries and updates within our booking system
Handle deposit processing, damage claims, and customer inquiries post-rental
Allocate ferry tickets, tolls, and parking fees to the correct bookings
Process invoices, purchase orders, and general company paperwork
Support internal accounting by preparing accurate Excel spreadsheets
Assist the rental team with operational tasks during busy periods
Suggest and support improvements to office workflows and processes
Who We Are Looking For
Proven experience in coordination, administration, or a similar office-based role
Strong written and verbal communication skills in English (Norwegian is not required)
Excellent focus and attention to detail, especially when working with data and allocations
Solid working knowledge of Excel and basic accounting practices
A problem-solver with a service-oriented mindset
Positive, proactive, and eager to take initiative
Comfortable working both independently and as part of a team
Open to supporting and collaborating with a diverse, international group
