Marketing & Communications team plays an important role in supporting the Clinic's growth, reputation, and patient experience—and
we're looking for an organized, detail-oriented professional to help keep everything running smoothly. This role is ideal for
someone who enjoys administrative tasks, coordinating projects, managing details, supporting a team, and creating structure in a
fast-paced environment. While you will work closely with marketing initiatives, this is primarily an administrative and
operational support role rather than a marketing strategy or content creation position. What You'll Do As the Administrative
Coordinator , you'll help ensure requests, events, and day-to-day operations stay organized and on track. Your responsibilities
will include: Serving as the primary point of contact for incoming marketing and communications requests. Assisting with clinic
visits, community outreach efforts, and internal initiatives through logistical and administrative support. Processing invoices,
maintaining records, and assisting with budget tracking and reconciliation. Managing inventory, ordering, organization, and
distribution of promotional items and apparel. Coordinating meetings, schedules, project follow-up, and other administrative
functions that support team effectiveness. Maintaining organized files, records, and documentation to ensure operational

detail-oriented. Comfortable managing multiple priorities at once. Proactive and dependable. Skilled at following processes and

equivalent work experience required. Experience One year of experience in an administrative, project coordination, operations
support, creative traffic management, or related role. Strong computer skills, including: Canva Asana Microsoft Word Microsoft

Primary Responsibilities * Lead engaging sessions including Cardio Tennis, Power Hours, and other programs as required. * Deliver private lessons, clinics, and camps to a wide range of Members. * Identify opportunities and support adult programming, including ladders, round robins, and new initiatives. * Represent the tennis department with professionalism, enthusiasm, and energy. * Contribute on-court to major events such as the Club Championships and other club wide events. * Develop and execute an annual tennis event calendar in collaboration with the Head Tennis Professional and Tennis Committee. * Oversee pre and post event logistics — from registration and promotion to communication and recognition. * Scheduling of Tennis Professionals for Events. * Sourcing of and budgeting for trophies, prizes and other giveaways. * Coordinate with Communications, F&B, and Events teams to ensure consistent and timely (ESS and other) messaging. * Prepare and distribute event updates, schedules, and promotional materials. * Oversee Private event bookings, clarifying processes and communication pathways. * Build partnerships with vendors and sponsors to enhance the Member experience. * Assist with Club getaways, charity events, and major hosted tournaments such as Junior Nationals or Masters events. * Support the delivery of coach education, staff training, and internal communication within the tennis team. Required Qualifications * Tennis Canada Club Professional 2 Certification (minimum) * Proven administrative, planning, and communication strengths * Experience in tennis instruction and event coordination * CPR / First Aid certification (current) * Strong public relations and interpersonal skills * Basic marketing proficiency * Detail-oriented, organized, and adaptable to a dynamic environment * Availability for evenings, weekends, and tournament events Compensation This role is commission‑eligible, with total compensation expected to range from $60K to $100K per annum.
