Role
We are looking for a skilled Recruitment Coordinator to support our Growth team in Miami. This person will own the full
recruitment funnel for our advisor sales organization, from first contact to onboarding, ensuring fast follow-up, high conversion,
and strong activation of new hires. This is a high-volume, high-velocity role where your follow-through directly drives how
quickly we grow our advisor network.
This is an in-person position based out of our Miami office in Wynwood.

You will collaborate closely with recruiters and hiring managers to ensure smooth recruitment operations, keep our ATS (Ashby) in flawless condition, coordinate interview logistics, and deliver an exceptional experience for our interviewers and candidates. WHAT WE'RE LOOKING FOR * 2+ years of experience in a similar role, ideally in a global startup or fast-moving tech environment. * Solid grounding in Recruiting Operations: you know what good ATS hygiene looks like, can extract actionable insights from data, and have a genuine interest in applying AI to make recruiting smarter. * Experience with Ashby or a comparable ATS (Greenhouse, Lever, or similar). * Strong communicator with exceptional writing skills, able to facilitate clear communication both internally and, most importantly, with our candidates. * Self-organized, proactive, and excellent at keeping multiple workstreams on track. * Growth-oriented and comfortable adapting to change in an evolving environment. NICE TO HAVE * Experience in project or program management. WHAT YOU'LL DO * Organize, schedule, and oversee interviews, including candidate logistics and complex scheduling across time zones in collaboration with EAs. * Support recruiting operations and programs such as interview programs, referral programs, and ATS configurations. * Ensure compliance with employment laws and regulations, maintaining confidentiality and ethical standards throughout the recruitment process. * Provide an outstanding candidate experience through clear communication, timely follow-ups, and genuine care at every stage of the process. The Recruitment Coordinator is an integral member of the APAC Experienced Recruitment Team, and the core driver of the candidate experience. As a recruitment coordinator, you will be responsible for ensuring an excellent end-to-end candidate experience while being hands on in the day-to-day operations of all interview coordination. You will need to handle a varied workload, effectively prioritize and deliver with polish. This role is integral to the overall success of team. YOUR CORE RESPONSIBILITIES: * Place the candidate experience journey at the forefront of all decision making * Handle heavy interview scheduling in a fast-paced environment across multiple time zones * Schedule and coordinate phone screens, assessments, onsite interviews, technical interviews, and debrief meetings with recruiters, managers and interview teams * Provide high touch care and act as primary contact for candidates throughout their entire experience; own the candidate experience end-to-end, from first contact to offer * Identify workflow inefficiencies and collaborate cross-functionally to improve processes that deliver high-quality results * Process and own offer letter stage and documentation * Understand key stakeholders’ objectives, have insight to the business and have confidence holding senior level conversations * Explore and leverage AI tools to enhance coordination workflows, improve efficiency, and elevate the candidate experience * Collaborate with the team to identify, test, and champion AI-driven process improvements within the recruitment function * Other duties to support the success of the talent acquisition team as needed YOUR SKILLS AND EXPERIENCE: * Experience managing complex scheduling, coordination, logistics, or administrative workflows in a fast-paced environment * Ability to stay highly organised, prioritise effectively, and manage multiple moving pieces simultaneously * Strong attention to detail and a high standard of delivery and follow-through * Excellent communication skills with the confidence to interact professionally with candidates, senior stakeholders, and interviewers * A proactive, solutions-focused mindset with the ability to anticipate problems and keep things moving * Comfort working with confidential or sensitive information with discretion and professionalism * Genuine interest in creating an exceptional candidate or stakeholder experience * Curiosity and openness toward AI tools, automation, and finding smarter ways of working * Adaptability, learning agility, and comfort navigating ambiguity in a dynamic environment * Experience in recruitment coordination, executive assistance, operations, team administration, customer-facing coordination, or similar highly organised support roles is valued but not essential * Experience using scheduling, ATS, CRM, or workflow tools (Greenhouse experience is a plus, but not required) About Us IMC is a global trading firm powered by a cutting-edge research environment and a world-class technology backbone. YOUR MISSION As a Recruitment Coordinator at STARK, you will ensure the smooth execution of recruitment operations across engineering, defence, and technology functions, supporting hiring across multiple European locations. You will act as a trusted partner to recruiters, hiring managers, and candidates, coordinating every stage of the hiring process while maintaining an exceptional candidate experience. This role is suited for a highly organised professional who thrives in a fast-paced environment, enjoys improving processes, and enables the Talent Acquisition team to hire exceptional talent efficiently and at scale. RESPONSIBILITIES * Manage job postings across internal and external platforms. * Schedule and coordinate interviews across multiple calendars, locations and time zones. * Act as a central point of contact for candidates throughout the interview process. * Support recruiters and hiring managers by ensuring candidate pipelines and recruitment records remain accurate and up to date. * Maintain high data quality within the applicant tracking system. * Coordinate preboarding and onboarding logistics in partnership with the People & Culture team. * Support recruiting events and selected employer-branding activities. * Assist with recruitment reporting, hiring documentation and operational workforce-planning administration. * Handle candidate and employee information with appropriate confidentiality and care. * Identify and implement improvements to recruitment processes and candidate experience. QUALIFICATIONS * At least two years of experience in recruitment coordination, HR operations or a comparable administrative role. * Strong organisational and time-management skills, with the ability to manage multiple priorities and deadlines. * Experience coordinating complex calendars across multiple time zones. * High attention to detail and a strong commitment to data accuracy. * A proactive and solution-oriented working style. * Ability to remain organised and effective in a fast-paced environment. * Excellent written and verbal communication skills in English. * German language skills are an advantage. NICE TO HAVE * Experience working with Google Workspace. * Experience using an applicant tracking system. * Previous experience with Personio or Greenhouse. * Experience supporting recruitment in engineering, technology or regulated industries.
