YOUR MISSION AT VOI As a Supply Chain Associate, you will join our central Supply Chain team and help keep Voi’s scooters, e‑bikes and spare parts moving smoothly across our markets. You’ll support day‑to‑day logistics and shipping operations, act as a key point of contact for internal and external stakeholders, and play an important role in keeping our central warehouse running efficiently. This is a hands‑on operational role, ideal for someone who is organised, detail‑oriented and eager to develop end‑to‑end supply chain experience in a fast‑moving, international environment. You will: * Plan, book and follow up on transport of scooters, e‑bikes, batteries, spare parts and parcels across markets, including higher‑volume and more complex e‑bike logistics. * Ensure all goods movements are accurately recorded and visible in our ERP system in a timely manner. * Coordinate with freight forwarders, shipping lines, trucking companies, customs agents, warehouses and authorities on logistics questions and shipment follow‑up. * Create and manage shipping documentation such as Dangerous Goods Declarations, commercial invoices and packing lists. * Handle weekly spare parts orders, support forecasting and manage allocation across markets for an expanding range of vehicle models. * Provide operational support to the central warehouse, including responding to WMS queries and helping resolve issues that could affect warehouse throughput. * Support invoice control, financial administration and cost follow‑up across transport and spare parts operations. * Ensure transport compliance requirements are met, including customs, safety and VAT documentation. * Support spare parts and vehicle relocation planning between markets as fleet composition evolves. WHAT YOU NEED TO EMBARK You are a hands‑on, structured and collaborative team player who enjoys keeping complex operations running smoothly. You are comfortable juggling multiple shipments and stakeholders at once, pay close attention to details, and are motivated by contributing to safe, reliable and sustainable micromobility. * A degree or equivalent experience in supply chain, logistics, business or a related field (desirable but not essential). * Some prior experience in a logistics, supply chain or operational support role is advantageous. * Experience with multiple freight modes (road, sea, air) is a plus. * Familiarity with warehouse management systems (WMS) or ERP systems is an advantage. * Strong attention to detail and organisational skills, with the ability to handle a high volume of operational tasks. * Strong coordination and communication skills; comfortable working with many stakeholders at once. * Fluency in English, written and spoken; additional languages are a bonus. * A proactive, can‑do attitude – you take ownership and handle shifting priorities with ease. * Ability to use approved AI tools to support day‑to‑day tasks such as writing, summarising and researching, while following company guidance and validating outputs where needed. ABOUT THE ROLE We're looking for a Finance Associate to join our finance team immediately and support the day-to-day financial operations of a fast-paced, multi-entity, multi-currency group spanning both UK and US operations. This is a great opportunity for someone early in their finance career to gain broad exposure across transactional finance, reconciliations, and month-end processes, with the chance to grow as the business scales. As a Finance Associate (Accounts Payable), you will play a critical role in delivering an efficient, well-controlled Procure-to-Pay (P2P) process across Leapwork's global operations. Reporting to the Finance Operations Manager, you will own the end-to-end Accounts Payable lifecycle, including supplier onboarding, invoice processing, payment execution, travel & expense management, and vendor relationships. You will also act as the system owner for our finance operations platforms, helping drive automation and continuous process improvements. As part of a lean, high-performing Finance team, you will also provide support across Accounts Receivable and other accounting activities as business needs require. Own the End-to-End Procure-to-Pay (P2P) Process * Own the Accounts Payable function across all Group entities. * Manage AP inboxes and resolve supplier queries promptly. * Vendor onboarding, due diligence and master data maintenance. * Process supplier invoices accurately and on time. * Match invoices to approved purchase requests and supporting documentation. * Monitor invoice approval workflows. * Prepare and execute supplier payment runs. * Perform supplier statement reconciliations. * Manage aged creditors and resolve outstanding items. * Build strong relationships with suppliers and internal stakeholders. Own Travel & Expense (T&E) * Own the administration of Navan. * Review and process employee expense claims. * Manage company card transactions. * Support employees with T&E queries. * Monitor compliance with expense policies. * Reconcile expense reports and company card statements. * Drive continuous improvements to the employee expense experience. Finance Systems Ownership * Support and optimise NetSuite, Navan and Omnea. * Maintain finance master data and user administration. * Support system enhancements and process automation. * Identify opportunities to improve finance workflows. Support Month-End Close * Prepare bank reconciliations. * Prepare Accounts Payable reconciliations. * Prepare Accounts Receivable reconciliations. * Prepare other balance sheet reconciliations as required. * Investigate and resolve reconciling items. * Maintain complete audit-ready supporting documentation. Support Accounts Receivable * Provide holiday and workload cover for Accounts Receivable. * Support customer master data maintenance. * Apply customer receipts and cash. * Perform customer reconciliations. * Assist with collections activities where required. Continuous Improvement * Support Finance transformation initiatives. * Identify automation opportunities. * Improve processes, controls and efficiency across Finance Operations. Audit & Compliance * Support annual external audits. * Assist with VAT and statutory reporting. * Maintain robust financial controls and audit trails. Experience & Skills * 3–5 years' experience in Accounts Payable or Finance Operations. * Strong understanding of Procure-to-Pay processes. * Good understanding of accounting fundamentals. * Experience with ERP systems. * Experience with NetSuite, Navan and Omnea is desirable, not mandatory. * Excellent organisational skills and attention to detail. * Strong stakeholder management and communication skills. * Technology-minded with a continuous improvement mindset. * Willing to support wider accounting duties as required.
