THE ROLE_ // As Masabi moves into its next stage of growth, we’re building the foundations that help our teams do their best work and grow with us. This role is about shaping how People Operations supports that journey. You’ll bring clarity, care and consistency to the employee experience, from onboarding and everyday support through to people programs, systems and the moments that matter most. You’ll own the day-to-day running of People Operations end-to-end, from onboarding and employee queries through to core programs, compliance, payroll inputs, systems and vendor coordination, helping everything run smoothly and without unnecessary friction. This role sits at the intersection of strong HR fundamentals and operational thinking. You’ll be hands-on, trusted to improve workflows, build better ways of working and reduce manual work over time using systems, data and automation where it makes sense. This is a builder role for someone who enjoys spotting what feels unclear, repetitive or overly manual, and turning it into something simpler, more thoughtful and more effective. The right person will care as much about people as they do about how things run. You’ll notice where employees or managers experience friction, and take the lead in making things simpler, more human and easier to navigate. LOCATION_ // This role is available in a fully remote model only for candidates based in Romania. We are now looking for an Employee Benefits Expense Administrator to join the Finance team and take responsibility for the operational management of employee benefit expenses. This role requires strong communication and reporting skills, along with excellent attention to detail. The successful candidate will serve as the primary contact for benefit-related expenses and support, as well as the streamlining of expense collection processes, ensuring accurate data flow between teams and departments. RESPONSIBILITIES AND DUTIES: Benefit expense administration: * Consolidate benefit expense data from multiple countries and source teams into a structured and standardized format, ensuring alignment with defined templates and reporting requirements. * Validate submitted data for completeness, accuracy, and compliance with operational standards, identifying and returning inconsistencies, gaps, or formatting issues to relevant teams for correction. * Execute required calculations and transformations to convert validated data into payroll-ready outputs, ensuring accuracy, consistency, and compliance with payroll input requirements, and submitting finalized files to payroll specialists within defined deadlines. * Verify, process, and reconcile benefit expenses to ensure accuracy and compliance with company policies. Process development, governance, and continuous improvement: * Support, improve, and streamline processes for collecting and managing employee benefit expenses. * Implement best practices to enhance efficiency, accuracy, and timeliness in benefit expense administration. * Collaborate with cross-functional teams to identify areas for process improvement and implement solutions. * Work closely with payroll and accounting teams to ensure seamless integration and processing of benefit-related data. * Ensure consistent adherence to established processes while identifying gaps, inefficiencies, and recurring issues, and proposing practical improvements to enhance accuracy, consistency, and efficiency. * Participate in initiatives to reduce manual processing efforts and enable future automation or system-based solutions. About the Role We're growing our payroll bureau fast, and hiring Senior Payroll Specialists to own payroll processing and the customer relationship end-to-end for a portfolio of Sona's frontline customers. This isn't a conventional bureau role. We're a fast-moving startup where everyone has a hand in building our processes, tools, and ways of working, and we're already more AI-forward in how we run payroll than any other bureau we know. Responsibilities * Run end-to-end payrolls for a growing portfolio of enterprise customers with complex requirements, spanning hourly rates, overtime, and weekly, fortnightly or monthly cycles * Own your client relationships as their primary point of contact, giving them confidence in our service * Identify opportunities to improve how we work, including where AI can help, and help put those improvements into practice * Act as a payroll expert in support of sales, helping prospective customers understand how our bureau operates * Collaborate across Sona, from Implementation and Product to Customer Success and Support * Develop a strong working knowledge of our HR and WFM platform and how it connects to payroll * Monitor KPIs, SLAs and compliance to ensure we deliver the highest standard of service * Stay current on the legislation, tools and trends that shape how we run payroll Requirements * Hands-on bureau payroll experience, processing for multiple clients rather than running a single in-house payroll * Strong working knowledge of UK payroll legislation: PAYE, RTI, pension auto-enrolment, and statutory payments * Comfortable managing multiple concurrent payrolls at volume and across different pay cycles * Assured and expert with clients, operating as a trusted advisor on payroll matters * Genuinely curious and self-sufficient: you research, question inefficiencies, and bring ideas rather than needing a playbook handed to you * Genuinely motivated by a startup environment where you help build the processes, not just follow them * Bonus: CIPP qualified (or working towards it), high-volume or multi-sector bureau experience, and any experience building or improving payroll tools and processes, including with AI.
