The Role
We are looking for an exceptional Executive Assistant to support three senior leaders at Teya: Chief Financial Officer (CFO) and
SVP, Credit.
This is a high-impact role for someone who thrives in a fast-moving environment, enjoys bringing structure to complexity, and
knows how to keep senior stakeholders focused on the highest-value priorities. You will be a trusted partner across calendar
management, travel, meeting preparation, internal coordination, and day-to-day operational support, while helping to create
efficiency, momentum and clarity across multiple leadership agendas. This role is especially well suited to someone who is highly
organised, calm under pressure, comfortable with ambiguity, and able to operate with complete discretion.

OUR MISSION To become the car-changing destination of choice. By combining technology, media and deep automotive expertise, we've turned how people buy, sell, advertise and lease cars on its head. What started as a simple reviews site is now one of the largest online car-changing destinations in Europe. Last year alone we grew over 50% with nearly £3bn worth of cars bought on site, while £1.8bn of cars were listed for sale through our Sell My Car service. In 2024 we went big and acquired Autovia - creators of AutoExpress and Evo magazines - doubling our audience overnight. THE ROLE You'll be embedded in our Technology function working alongside our CTO with a dedicated portion of your time working with our incoming CPO giving you genuine visibility across both Tech and People at the most senior level. WHAT YOU'LL BE DOING * Calendar wizardry: Skilfully oversee the CTO & CPO’s schedules, ensuring comprehensive awareness of upcoming commitments, including meetings, interactions, and presentations. * Stakeholder Engagement: Serve as the primary point of contact for internal and external stakeholders, efficiently managing enquiries and ensuring that matters concerning the execs receive appropriate attention. * Project Coordination: Coordinate and follow up on various projects and initiatives led by the relevant Executive. * Proactive Problem-Solving: Anticipate the Executive's needs, streamline processes, and provide solutions in advance of issues arising. * Attention to Detail: Demonstrate unwavering precision, upholding the highest standards of accuracy and quality in all responsibilities. * Responsive: Quickly and accurately * Confidentiality: Handle confidential information with discretion, maintaining a high level of trust and integrity. * Administrative Excellence: Execute a wide array of administrative tasks, from crafting and refining presentations to managing documents, schedules, inbox management and communications. * Expense Management: oversee and track the expenses and reimbursement requests. * Meeting Coordination: Prepare comprehensive meeting agendas, materials, and presentations. * End-to-end meeting preparation for high-impact and complex engagements, anticipating information requirements, ensuring clear outcomes, and managing follow-up actions. * A strong project ethos, being able to manage a number of work-streams including tracking milestones, sharing progress updates, and facilitating communication between teams. WHAT YOU'LL NEED * We are seeking an individual who is inherently self-motivated and possesses a strong solutions-oriented mindset. Your track record should reflect experience in effectively engaging with C-level executives. In addition, you should excel in managing workloads and adeptly prioritising tasks, even within the demanding constraints of a fast-paced, deadline-driven environment. * Thrives on multitasking: you can deftly spin multiple plates to give the Executive’s space to focus on big-picture stuff and keep the business humming. * Unapologetically curious: you will always want to build a deeper understanding of what makes our business tick * Several years’ experience as an Executive Assistant. You'll serve as the primary point of contact for all matters pertaining to the Executive Team, from highly confidential communications to forward planning, travel, and events. You'll work closely with our existing EA team in a collaborative, autonomous environment where your ideas and initiative are genuinely encouraged. A few things you'll be responsible for: 👉 Diary management and gatekeeping for the Executive Team — prioritising, protecting, and structuring their time so they can focus on what matters most 👉 Managing all business travel logistics, including visas, itineraries, and expenses 👉 Serving as the primary point of contact for internal and external communications on behalf of the Executive Team, including sensitive and confidential matters 👉 Supporting the circulation of board and leadership packs and ensuring actions are followed up 👉 Organising meetings, off-sites, lunches, dinners, and office events — from logistics to hospitality 👉 Supporting the smooth running of the UK office, including onboarding of senior hires and assisting during large exec-facing events It's also fun; shaking things up is what working for GWI is all about. WHAT DO I NEED TO BRING WITH ME? 🧳 You'll need to be able to demonstrate the core skills this role requires. WHAT YOU'LL BE DOING: Rather than a long checklist, here's what success in this role looks like: * Own and manage the CRO and CFO's complex, multi-timezone diaries — proactively resolving conflicts and protecting time for the highest-priority work * Act as the first point of contact for the CRO and CFO, triaging inboxes, drafting correspondence, and representing their voice with professionalism and discretion * Coordinate board meetings, leadership offsites and commercial reviews, including logistics, briefing materials and accurate minutes * Support the preparation of board packs, investor materials and quarterly business reviews on behalf of the CRO and CFO * Arrange travel, accommodation and expenses for the CRO and CFO, ensuring efficiency and compliance with policy * Partner with the CRO and CFO on ad hoc strategic and operational projects, from research to tracking progress against milestones * Identify opportunities to simplify, optimise and scale the way the office and executive support function runs ABOUT YOU: We're more interested in how you think and work than in a perfect CV.
