Your role
As the Workplace Experience Coordinator for Japan, you'll serve as the operational backbone of our Japan business, providing
executive support to the Japan Country Manager while ensuring the smooth day-to-day operation of our Tokyo office.
You'll coordinate office operations, manage administrative processes, support internal meetings and events, and act as a key
liaison between our Japan team and global departments, including Finance, Workplace Experience, IT, and People Operations. This
role is ideal for someone who thrives on organization, enjoys wearing multiple hats, and takes pride in creating an exceptional
employee and customer experience.
This position reports to our Japan Country Manager, and is based in our Tokyo office.

In this Role, you’ll get to: * Act as the subject matter expert on compliance and company policies and procedures, providing advice to managers and employees. * Coach, counsel, and guide managers in managing employees with poor performance and handling misconduct cases. * Support managers in the execution and tracking of disciplinary actions according to the local laws and regulations. * Handle terminations, ensuring the right steps are taken, and the right documentation is used so that the risk of labor claims is minimized. * Conduct impartial investigations into grievances and serve as a dedicated Employee Relations partner, identifying trends and insights to inform procedural improvements. * Manage employee relations with case timelines and deliverables, ensuring timely stakeholder updates and high-quality documentation. * Analyze performance management data and past misconduct cases to develop recommendations for capability building policy revisions, training enhancements, and more effective management practices. * Act as an HR Business Partner to a dedicated Department to share actionable insights and trends. * Spearhead automation and improvements towards internal processes such as (but not limited to) performance management, offboarding, etc. To be successful in this position it will help you to have: Qualifications & Experience * Bachelor’s Degree in Human Resources, Law, or related field. * Minimum 6-8 years’ experience in Employee Relations or HR Business Partnering/Generalist roles, with demonstrated knowledge of employment law, workforce reduction projects, and handling complex ER issues. * Strong understanding of Japan labor law and employee relations best practice. THE ROLE We’re a ~30-person team looking for a warm, reliable, and detail-oriented office coordinator to keep our workspace running smoothly day to day. You’ll own the practical side of office life — supplies, facilities, vendor relationships, and the small things that make a big difference to how the office feels. You’ll also play a supporting role on people-facing moments like new hire onboarding, candidate visits, and team event planning. This is a hands-on, in-office role well suited to someone who genuinely enjoys making other people's day better. You notice the small details, anticipate needs before they're asked, and take pride in creating an environment where employees and guests feel welcomed and cared for. You take pride in keeping things stocked, organized, and running well. You bring the same care to coordinating a team happy hour as you do to managing a vendor renewal. You don’t need a lot of direction — you need context and trust, and you take it from there. Workplace Experience Coordinator (m/f/d) – 30 hours per week CANDIDATE PROFILE To support our Workplace Experience Team, we are looking for a reliable, service-oriented Workplace Experience Coordinator who can independently manage the day-to-day operations of our Berlin office while acting as the primary on-site point of contact for employees, visitors, and service providers. As our Berlin office supports both local and international teams, the successful candidate must be comfortable working in both German and English. While English is the primary language of communication within the office, the role requires fluency in German to liaise with local vendors, building management, service providers, visitors, and authorities.
