About the Role
WE ARE SEEKING A GLOBAL TRAVEL SPECIALIST TO MANAGE AND SUPPORT DAY-TO-DAY BUSINESS TRAVEL OPERATIONS ACROSS INDIA AND SELECTED
APAC MARKETS. IN THIS ROLE, YOU WILL BE RESPONSIBLE FOR HANDLING HIGH-VOLUME, ROUTINE TRAVEL REQUESTS WHILE ENSURING A SEAMLESS,
COMPLIANT, AND HASSLE-FREE TRAVEL EXPERIENCE FOR OUR EMPLOYEES.
The position focuses on end-to-end travel coordination, ticketing support, shared inbox management, and first-level traveler
assistance. This role aligns functionally to the Global Travel Team and will collaborate closely with the Sr. Global Travel
Specialist.
This position reports into the Senior Director of Accounting.
Queue & Request Management: Monitor and manage shared travel team inquiries, including the travel support email helpdesk and Slack
channels, ensuring adherence to internal SLAs.Traveler Support & Escalations: Provide first-level support to employees for routine
travel changes, cancellations, rebookings, and date modifications. Act as the primary point of contact for on-trip
emergencies.Visa Assistance Related to India Travel: Assist employees with corporate visa applications, invitation letters, and
documentation requirements..TMC Coordination: Partner with our external Travel Management Company (TMC) and vendors to ensure
smooth ticketing, seat allocation, and meal preferences.Expense & Meal Vendor Management: Process and support daily travel-related
expenses through Coupa. Manage corporate meal vouchers and programs in line with company policy.

THE WOW As our Travel Coordinator, you’ll be at the centre of creating seamless travel, relocation and onboarding experiences for employees, ensuring every journey to and within Malta is smooth, efficient, and memorable. From coordinating global travel and supporting international relocations to managing Betsson apartments, supplier partnerships, and travel-related workflows, you’ll work closely with teams across HR, Finance, Legal, Technology, and global offices. A TASTER OF WHAT YOU WILL BE INVOLVED WITH: * Own and maintain the global travel policy, ensuring compliance and continuous improvement. * Own and manage all global travel bookings through Perk, ensuring a smooth and efficient booking experience for employees. * Act as the main point of contact for travel-related queries, providing guidance and support across the organisation. * Manage and negotiate hotel agreements, ensuring cost-effective and high-quality options for business travel. * Coordinate with Legal on hotel agreements and apartment contracts to ensure compliance and alignment. * Coordinate relocation processes for new hires moving to Malta, including travel arrangements, communication, and onboarding support. * Manage Betsson apartments in Malta, including allocation, upkeep, and ensuring a high standard of accommodation. * Conduct regular apartment checks and coordinate maintenance or improvements where needed. * Collaborate with HR Shared Services and Recruitment teams to ensure seamless relocation and onboarding experiences. * Manage travel costs, reporting, and budget alignment. * Use AI and automation to optimise travel coordination workflows, such as automating repetitive travel request updates, streamlining approvals, improving ticket routing, and reducing manual follow-ups. * Identify practical opportunities to improve processes through digital tools, for example using automated reminders for missing travel details, AI-supported FAQ responses for common employee queries, workflow triggers for relocation tasks, and reporting dashboards to track travel spend, booking trends, and apartment occupancy. * Coordinate travel needs across all our locations. The Travel Coordinator will own travel coordination for the IMC Sydney office, serving as the primary point of contact for all international and domestic travel bookings. The role sits within the Workplace Operations team and plays a critical part in ensuring IMC’s growing travel programme runs smoothly, efficiently, and in line with policy. With travel coordination as the primary focus and office administration as the secondary, this is an ideal opportunity for someone with a strong travel or corporate services background who enjoys variety and wants to build broad operational experience in a fast-paced environment. Through strategic partnerships, proactive engagement, and coordinated action, we anticipate emerging opportunities and threats, and shape global discourses through 2030 and beyond. 2 MAJOR FUNCTIONS The Senior Coordinator in the Global Policy Impact department plays a key role in ensuring smooth coordination and operational efficiency across the team, with other WWF units, and external partners. The role is grounded in providing high-level administrative and operational support to the Director, including calendar management, travel logistics, and expense processing, while also contributing to the coordination of the team. The Senior Coordinator maintains clear and consistent internal communication, manages updates and briefings, and organizes internal and external meetings and events. In addition, the role supports an dedicated Knowledge Manager to the team by maintaining shared resources and documentation and supports cross-team collaboration to promote integrated approaches across WWF. They assist the Director with strategic planning, reporting, and coordination of cross-cutting initiatives, and prepare internal materials to support decision- making and enhance team visibility. The role also contributes to budget tracking and administrative processes, helping to ensure the department operates efficiently and delivers on WWF’s global policy objectives. 3 MAJOR DUTIES AND RESPONSIBILITIES ● Provide strategic and operational support to the Director of Global Policy Impact, including preparation of briefings, coordination of priorities, and follow-up on key actions and decisions. ● Provide proactive calendar management, travel coordination and submission of expense reports for Director and cluster Heads, ensuring schedules run smoothly and logistics are efficiently organized. ● Facilitate internal coordination across the Global Policy Impact team, ensuring alignment of workplans, timelines, and deliverables across multiple workstreams. ● Supports team in the coordination of global policy fora ● Organize and support internal meetings, workshops, and retreats, including agenda development, logistics, documentation, and follow-up actions. ● Manage and maintain the team’s SharePoint site, ensuring shared resources and documentation are well-organized, accessible, and support effective collaboration. ● Build and update an internal SharePoint communications site to keep internal colleagues informed and aligned with key updates, priorities, and organizational developments. ● Support the development and monitoring of strategic plans, annual workplans, and internal reporting processes, ensuring alignment with departmental goals. ● Assist with budget tracking, procurement processes, contract management, and compliance with internal procedures. 4 PROFILE Required Qualifications. ● University degree preferably in business administration ● At least 5-7 years’ relevant experience as a senior or executive assistant in an international environment.
