JOB DESCRIPTION About Kapaya Most organizations do not struggle with ambition. They struggle with execution. Processes become fragmented, systems do not connect in the right way, and important work often depends on too many manual steps, unclear ownership and inconsistent follow-through. That is where Kapaya comes in. We help organizations improve how work gets done by designing better operational structures, implementing smarter workflows and making sure projects and processes actually land in practice. Using tools such as Airtable, Make and other workflow technologies, we help customers move from complexity to clarity. Kapaya is part of One Productivity Group, a pan-European group focused on improving how organizations operate. Across our brands, consulting, technology and execution come together to create better workflows, stronger collaboration and more scalable operations. About the role This role is for someone who enjoys bringing structure, clarity and momentum into complex customer projects. As a Project Manager, you are responsible for helping projects move forward in a clear and organized way. You keep track of priorities, stakeholders, planning and deliverables, while making sure the right people stay aligned and the work keeps moving. The starting point is often an environment where multiple teams, systems and dependencies come together, and where progress depends on strong coordination and practical decision-making. The role combines project ownership, customer communication, implementation support and operational oversight. It moves between aligning stakeholders, managing timelines, supporting delivery teams and helping customers translate plans into execution. It is hands-on, client-facing and focused on making sure projects do not just start well, but also land successfully in practice. YOUR MISSION What the role involves • Managing customer projects from kickoff to delivery, with clear ownership over scope, timelines and coordination • Keeping stakeholders aligned across customers, internal teams and external partners where relevant • Turning project goals into concrete plans, clear next steps and well-structured follow-up • Monitoring progress, dependencies, risks and priorities throughout the project lifecycle • Supporting implementation projects involving workflows, systems and process improvements • Working closely with consultants, technical colleagues and commercial teams to keep delivery aligned and realistic • Leading customer meetings, status updates and working sessions in a clear and confident way • Helping customers navigate decisions, remove blockers and maintain momentum throughout the project • Identifying where additional structure, communication or process improvements are needed to support delivery • Contributing to better project standards, templates and delivery approaches across the team YOUR PROFILE What makes a strong fit • Several years of experience in project management, implementation, operations or a related client-facing role • Experience working in consulting, digital projects, workflow tooling, SaaS or process improvement environments is a strong advantage • Experience with sprint-based ways of working and agile delivery methods is a plus • Strong organizational skills and the ability to keep multiple workstreams moving at the same time • A structured, proactive and reliable way of working • Confidence in managing customer communication and aligning different stakeholders • The ability to bring calm, clarity and direction into dynamic or fast-moving environments • Strong communication skills, with the ability to explain things clearly and keep people aligned • A practical mindset with attention to detail and follow-through • Fluent German and English, both spoken and written • Dutch and French are a plus, but not required • Interest in digital workflows, systems, process optimization and operational improvement What makes this role interesting Many project management roles focus mainly on planning and reporting. This role goes further. It involves working closely with customers, helping shape how projects move in practice and making sure implementation actually lands in a useful and sustainable way. The impact is visible. Not in slide decks, but in projects that keep moving, stakeholders that stay aligned and solutions that are delivered in a way that truly works for the customer. WHY ONE PRODUCTIVITY GROUP? What One Productivity Group offers • A role with real ownership and direct impact on customer success and delivery quality • The opportunity to work on meaningful workflow, implementation and process improvement projects • A flexible setup, remote, hybrid or from one of our office locations • A professional onboarding and strong on-the-job learning environment • Regular coaching, feedback and development opportunities • A team that combines high standards with a collaborative and down-to-earth way of working • Room to bring in ideas, improve how projects are delivered and contribute beyond the core role • A digital-first work culture with flexibility and trust • High-quality equipment for both office and remote work About One Productivity Group One Productivity Group is a fast-growing pan-European group focused on helping organizations improve the way they work. Across our brands, consulting, technology and execution come together to create better workflows, stronger collaboration and more scalable operations. We hire across Europe and work across multiple countries, including Germany, the Netherlands, Switzerland, France and Sweden. Your Responsibilities * You establish People policy and process standards by authoring, reviewing, and maintaining the global and local People policy frameworks, ensuring all documentation is logical, accessible, and structured according to company standards. * You look after AI-readiness and ethical governance in the People domain by reviewing existing policies and processes to ensure they are compliant with emerging AI regulations, address corresponding risks, and protect employee data privacy. * You partner with the wider People Solutions team to ensure that automated People processes and AI-driven tools have clear human-in-the-loop overrides and ethical safeguards. * You design, implement, and maintain a Risk and Controls Framework specifically for People processes that is in alignment with Raisin’s global compliance framework. * You track upcoming changes in employment law, data protection (e.g., GDPR, local privacy laws), and AI regulations and proactively update policies and process accordingly before they take effect. * You align closely with the People and Culture leadership and conduct regular spot-checks and internal mini-audits to ensure teams are executing People processes strictly according to documented standards. * You serve as the primary point of contact for all internal, external, and third-party People audits and governance-related reporting requests. * You manage and fulfill documentation requests from external supervisory bodies, labor ministries, and regulatory agencies. * You design and oversee in close collaboration with Raisin’s People and Culture leadership the implementation of Corrective Action Plans (CAPs) across the broader People team if audit gaps are identified. Your Profile * You hold a Bachelor’s degree in Human Resources, Psychology, Business Administration, Legal Studies, or a related field. * You have 5+ years of progressive experience in Human Resources, with at least 2–3 years focused explicitly on HR Compliance, HR Audit, or People Operations Governance. * You have strong People domain knowledge incl. People processes across the employee lifecycle. * You have direct experience drafting, structuring, and maintaining comprehensive HR policies, employee handbooks, and standard operating procedures (SOPs). * You have a deep understanding of regional employment standards, labor laws, and strict data privacy regulations (e.g., GDPR) as well as strong foundational knowledge of emerging frameworks impacting HR technology, such as the EU AI Act. * You have strong communication skills and you feel comfortable collaborating with both technical and non-technical stakeholders. * You have the ability to "speak tech" and understand how data flows through an HRIS. * You have the ability to act as a bridge between rigid legal/audit teams and fast-moving People teams without causing friction. * You have a strong focus on data integrity, semantic clarity in documentation, and spotting subtle gaps in process controls. * You are fluent in English. Additionally, professional working proficiency in German is required to interpret local labor laws. Join our mission, join our team – and grow with us! At Raisin, we care about each other and it is one of our top priorities to foster an open and caring environment in which everyone feels welcome and comfortable. Our culture is strongly driven by our ambitious team, which connects more than 75 different nationalities. As part of our team, you will benefit from: * Employee Development Budget of €2,000 and four full training days per year. * Flexible working hours, home office and 30 vacation days. * A company pension scheme (Betriebliche Altersvorsorge), which we support with 20%. * Enjoy more than 50+ different sports with Urban Sports Club: We subsidize your membership with more than €20 per month. * Do you miss being in the office?
