We're looking for a warm, resourceful, and organized Workplace Coordinator to own the daily experience in our London office.
London is one of our largest and fastest-growing locations, scaling from 60 people today to 120+ by end of year, and this role
sits at the center of that growth.
You'll be the face of the office, the go-to for employees and guests, and a key partner to People Ops, IT, and Finance on
everything from onboarding to events to facilities. This is a hands-on role for someone who takes pride in running a great office
and brings structure and hospitality in equal measure.
This is a full-time, in-person role, on-site five days a week, Monday through Friday, 8:30am – 5:30pm.

Summary We're looking for a Workplace Operations Coordinator to keep our European offices running smoothly and serve as the go-to link between our teams in Europe and our HR/Finance teams. This role is ideal for someone who's organized, people-oriented, and comfortable wearing a lot of hats. This will be an in-person role in our London office. Responsibilities * Manage day-to-day office operations including supplies, vendor relationships, mail, and facility needs including snacks and lunches. * Coordinate office space, moving, renewals, seating arrangements, and equipment for new and existing employees. * Serve as the first point of contact for employee questions related to HR policies, training, benefits, and onboarding (including interns every year). * Support HR and IT with onboarding and offboarding logistics, working visas, maintaining employee records, and scheduling interviews. * Plan and coordinate office events, meetings, and team activities. * Track and manage office budgets and submit expense reports for office needs. * Remotely assist with snacks and supplies for other office locations. * Ensure the workplace meets health, safety, and legal compliance standards. * Interface with our local HR vendors. * Identify opportunities to improve office processes and employee experience and retention. * Provide customer support for our company's merch store. * Help with travel and local events including our yearly company meet-up. Qualifications * 5+ years of experience in relevant fields. * Excellent customer service and communication skills. * Stellar ability to organize both digitally and physical space. * Proficiency in Google Workplace suite, Slack, and general technology literacy. * Willingness to work outside of typical 9am-5pm hours to accommodate other time zones. The Role The IT and AI Enablement function exists to make Legora itself run as well as the product we sell: secure, automated, and compounding over time. The Workplace Technology Lead owns everything technical a person touches when they walk into the office — onboarding, hardware, AV, cabling, and physical-security infrastructure — with Workplace Technology Staff supporting as the site scales, and works alongside the EAs, Workspace, Office Managers, and Brand/Events teams. One Lead per major site (Stockholm, London, New York, Sydney, Denver); they share playbooks and cover for one another. This role owns London. What You'll Be Doing * Own London's workplace technology end to end — the day-to-day experience for staff and guests. Lead the Workplace Technology Staff where the site has them; do the work yourself and build the team where it doesn't. * Run the technology side of new-hire onboarding on the ground: devices staged, accounts and access provisioned, day-one setup, and the in-person welcome to Legora's tools — Workplace handles the desk and space. * Own the AV and conferencing estate — meeting rooms, all-hands, and event AV. * Inside Workplace’s office buildouts, program-manage the physical systems — cameras, badge / access-control, and structured cabling: oversee installers, hold vendors to Legora’s standards and acceptance tests, and make sure each is installed correctly, comes up on the network, and stays available. Workplace owns the buildout; you own that the tech works; Security owns access policy and monitoring. * Manage the local hardware lifecycle — provisioning, stock, repairs, returns — and be the site’s top escalation point above first-line support. * Resolve local requests through Legora’s shared service desk, working to common SLAs with automated routing. * Oversee the site’s technology spend — AV, hardware, and IT / AV vendors — forecasting with Finance and feeding the overall site budget that Workplace owns. Who You Are * 6+ years across IT / workplace technology, AV, or facilities-adjacent technical operations, including running on-site buildouts end to end — you're comfortable owning a site. * Ready to incubate a site — happy to start as the sole technologist and build the team as the office grows. * A program manager at heart — you can scope a fit-out, keep installers, vendors, and timelines on track, and own a budget and forecast spend without drama. * Hands-on and present — this is a five-days-on-site role (you can't stage a new hire's desk or recover a dropped meeting room remotely), and you like being the person on the floor who makes the space work. * A calm partner and — where there’s a team — a steady manager who develops people; you're the point of contact when an event or VIP visit depends on the tech. * Standards-minded and ambitious — you want your site to set the bar the others copy, and you keep the next buildout cleaner than the last. Nice To Have * AV and conferencing at scale — room design, signal flow, and acceptance testing (Neat, Zoom Rooms). * Technical program management of physical installs — structured / low-voltage cabling and commissioning of building systems. * Physical-security infrastructure — badge / access-control and camera / CCTV (e.g. Verkada): keeping it installed, networked, and available, and coordinating installers. * Office network fundamentals — Meraki and the local network spine, working with the IT Systems team. * Endpoint and onboarding logistics — macOS provisioning, Jamf / Apple Business Manager, and staging hardware for new hires. * Comfortable running support through an ITSM / service-desk platform and adopting AI-assisted, agentic automation — we run an AI-native ITSM (Serval), and exposure to tools like ServiceNow, Jira Service Management, or Freshservice transfers well. * Experience with Neat, Zoom, Meraki, Verkada, Jamf, Apple Business Manager, and 1Password. *Please note that due to summer holidays, our response times may be a little longer than usual. Embedded Security Project Manager - Northern Europe Physical & Electronic Security - Global Clients Team * Location: EMEA-based, flexible (UK, Ireland) * Travel: Regular site travel required, typically every 1–2 weeks, depending on regional project demand. Purpose This role strengthens delivery capability across large‑scale data centre and critical infrastructure programmes for a major global technology customer. Operating as an embedded technical specialist, the Security Project Manager leads the on‑site coordination, technical validation, and integrated deployment of physical and electronic security systems. The role blends project delivery, engineering oversight, on‑site presence, and system verification not traditional commercial project management. You will support in‑country project managers and partner with construction, MEP, network, and global security teams to ensure systems are installed, tested, and handed over to the highest standards. Major Responsibilities Technical Security Delivery * Deliver the full lifecycle of physical and electronic security elements within data centre and critical infrastructure projects. * Oversee technical installation quality, system integration accuracy, device placement, panel wiring, and alignment to global standards. * Support site surveys, verify existing conditions, and collaborate with local teams to scope and document technical requirements. On‑Site Coordination & Field Presence * Serve as the on‑site embedded security representative, collaborating closely with construction, MEP, and infrastructure teams. * Conduct regular on‑site reviews to validate installation progress, sequencing, and technical compliance. * Engage directly with integrators and contractors to resolve issues and accelerate progress. Functional Testing & System Verification * Lead functional testing of ACS, VMS, IDS, intercoms, sensors, physical hardware, and failover behaviour. * Verify door functionality (REX, DPS), camera behaviour, alarm routing, network logic paths, redundancy, and event visibility. * Document results, identify defects, and coordinate remediation through re‑testing and sign‑off. Commissioning Support (Verification, Not Programming) * Witness and validate commissioning performed by integrators. * Verify system responses, alarms, behaviour, and integration points, ensuring readiness for handover. * Confirm alignment to global client standards and escalate deviations where required. Physical Security Infrastructure Oversight * Oversee installation and integration of: * Perimeter fencing and hardening * Turnstiles, gates, vehicle barriers, crash‑rated bollards * Door hardware, locking systems, hinges, closers * Ensure seamless interplay between physical components and electronic systems. Documentation, Reporting & Quality Management * Produce structured site reports with photos, risks, deviations, and recommended corrective actions. * Track and close snags/punch lists, coordinating remediation with in‑country partners. * Review RFIs, submittals, drawings, and technical documentation to support accurate delivery. Design, BIM & Coordination * Review drawings and models (Bluebeam, ACC, Navisworks) to identify clashes, design gaps, access constraints, and installation conflicts. * Provide redlines and recommendations that improve buildability and prevent rework. Cross‑Functional Partnership * Partner with global security standards owners, engineering, construction, MEP, and operations teams. * Maintain clear communication through dashboards, updates, and issue/risk registers. * Align project activities with global security expectations while adapting to local conditions. Education * Qualification in engineering, security technology, construction management, or related field; equivalent experience considered. Experience & Knowledge Technical Security Experience * Strong practical experience with Lenel OnGuard and Milestone XProtect (essential). * Familiarity with ACS/VMS integrations, intrusion detection, intercoms, sensors, IP‑based security systems. * Experience validating functional tests and witnessing commissioning activities. * Understanding of installation methods (cabling, containment, device mounting, infrastructure routing). Physical Security Infrastructure * Experience with perimeter systems, gates, barriers, turnstiles, and door hardware. * Knowledge of how physical and electronic systems integrate logically and mechanically. Critical Infrastructure Delivery * Experience delivering security systems in data centres, utilities, energy, telecoms, transport hubs, or similar high‑availability environments.
