ROLE OVERVIEW The Production & Development Coordinator plays a pivotal operational role in supporting the efficient delivery of Screen Ireland’s Development and Production funding programmes across film, television and animation. The role is responsible for coordinating funding application processes, supporting assessment and decision-making workflows, maintaining accurate project and funding data, and ensuring the effective administration of departmental activities in accordance with strong governance, public sector accountability and organisational procedures. Operating within a fast-paced, high-volume and dynamic funding environment, the postholder will manage multiple concurrent priorities, respond to evolving business needs and deliver high-quality administrative support within demanding timeframes. The role requires excellent organisational capability, attention to detail and the ability to exercise sound judgement while maintaining exceptional levels of customer service to internal and external stakeholders. Working collaboratively across the Production & Development Department, the coordinator is expected to demonstrate a high degree of flexibility and role mobility, providing cross-functional operational support across funding programmes and departmental activities to ensure service continuity during periods of increased demand. This collaborative approach strengthens departmental resilience, supports consistent service delivery and enables the organisation to respond effectively to changing priorities. The postholder will work closely with Heads of Department, Project Managers, the Administrative Executive, internal corporate functions and external industry stakeholders to support the successful delivery of funding programmes, contribute to continuous process improvement and maintain high standards of governance and operational excellence. FUNCTION OVERVIEW The Production and Development function at Screen Ireland is responsible for overseeing, supporting, and enabling the development, production, and delivery of high-quality content across film, television, animation, and documentary. The team provides strategic funding, creative and editorial guidance, and structured oversight to writers, directors, producers, and animation studios, ensuring projects progress in line with Screen Ireland’s cultural, creative, and industry objectives. In addition to managing project pipelines, the function plays a central role in supporting talent development, fostering innovative and diverse storytelling, and strengthening Ireland’s capacity across all screen sectors. This includes leading development initiatives, designing targeted funding schemes, and cultivating partnerships with broadcasters, distributors, financiers, and international collaborators. The team also ensures alignment with broader organisational strategies and contributes to the sustainability, growth, and global visibility of Ireland’s screen industries. JOB GRADE / REPORTING LINE It is anticipated that in order to have the required skills and competencies, the Production and Development Coordinator post will be at the Executive Officer grade, First Point level. REPORTING LINE(S) The role reports to the Production & Development Administration Executive as well as working with the wider Production and Development team, to ensure effective communication and team synergy. Reporting structures may be reviewed periodically to reflect business needs. KEY RESPONSIBILITIES Slate Coordination & Application Management * Coordinate the Development and Production slate across all funding schemes, acting as a key operational contact for project-related queries. * Maintain accurate and up-to-date records within the online portal, ensuring transparency of project status, decisions and funding commitments. * Support the delivery of application rounds, manage departmental mailboxes and provide guidance to applicants regarding eligibility and process requirements. * Prepare assessment documentation, reports and briefing materials to support decision-making processes. * Escalate risks, issues or anomalies in line with governance procedures. * Contribute to the continuous enhancement of the online system by identifying opportunities to improve functionality, optimise workflows and strengthen process efficiency. Funding Round & Assessment Administration * Lead the administrative preparation for monthly funding meetings, including agenda development, reporting templates and supporting data. * Coordinate reading assignments, conflict-of-interest checks and application routing. * Collate historical funding data and prepare visual materials to support structured discussion. * Record meeting outcomes with accuracy, ensuring decisions, actions and recommendations are clearly documented and approved. Post-Assessment Workflow & Reporting * Coordinate post-decision processes including preparation of funding reports, process decision summaries, Board documentation and recommendation papers. * Draft offer and decline correspondence following ratification and ensure completion of internal approvals. * Maintain commitment trackers and support structured feedback processes for applicants. * Prepare notifications and documentation for Board consideration in collaboration with senior team members. Data, Reporting & Process Improvement * Compile statistical reports including funding trends, gender metrics and other organisational data requirements. * Contribute to strengthening database functionality and improving application workflows. * Identify opportunities for administrative efficiencies and support the implementation of enhanced operational processes. Festival, Market & Programme Support * Assist with festival and market planning in partnership with Production & Development and Communications teams. * Coordinate meeting schedules and provide logistical support for industry engagement. * Support delivery of departmental programmes and initiatives as directed by senior leadership. External Assessor Coordination * Coordinate the engagement of external assessors, including availability management, conflict checks and project allocation. * Provide briefing materials, manage timelines and respond to assessor queries. * Escalate conflicting recommendations appropriately to support balanced decision-making. * Process assessor payments and ensure compliance with tax and financial procedures. Departmental Planning & Operational Support * Support coordination of the departmental calendar and annual planning cycle. * Provide responsive administrative support aligned to evolving business priorities. * Collaborate closely with the Administrative Executive and Heads of Department to ensure continuity of operations. * Demonstrate flexibility in responding to evolving operational priorities. Governance, Collaboration & Professional Standards * Maintain confidentiality and ensure compliance with organisational policies, public sector standards and data protection requirements. * Foster collaborative working relationships across teams. * Deliver work with a strong service ethos and commitment to organisational values. ROLE DETAILS AND TERMS * This position is at the Executive Officer level and is remunerated at €38,803 per annum. This role will be filled in line with Public Pay Policy at the first point of this Salary Scale unless the successful candidate is appointed from an existing public sector role.
