ABOUT THE TEAM We are looking for an exceptionally organised, discreet and experienced Executive Assistant to become the operational backbone of our CEO Office. You will work closely with the Chief of Staff. YOUR MISSION You will be responsible for ensuring that the CEO and senior leadership team can operate at maximum effectiveness in an extremely fast-paced, international environment. RESPONSIBILITIES * Own complex calendar management across multiple time zones. * Coordinate domestic and international travel, accommodation, transport and detailed itineraries. * Organise security arrangements and coordinate with executive protection where required. * Support preparation of meeting agendas, briefing packs and background documents. * Draft professional correspondence, follow-up emails and meeting summaries on behalf of senior executives. * Track action items and ensure follow-up across teams until completion. * Coordinate internal and external meetings with governments, military leaders, investors and international partners. * Manage logistics for events, board meetings and executive visits. * Prepare printed briefing books, presentations and meeting materials. * Coordinate business cards, CEO office supplies and executive administration. * Support visitor management and protocol for senior guests. * Work closely with Communications, Public Affairs, Security, HR and Operations. * Act as the central coordination point for the CEO Office QUALIFICATIONS * Significant experience supporting C-level executives or founders. * Outstanding organisational skills and exceptional attention to detail. * Excellent written communication skills in both German and English. * Strong judgement, professionalism and complete discretion. * Ability to manage multiple competing priorities simultaneously. * Comfortable working in a dynamic, high-growth environment where priorities change quickly. * Confident interacting with senior government officials, military leaders and international executives. * Calm, resilient and dependable under pressure. As Senior Compliance Systems Manager (all genders), you will play a key expert role with high strategic impact on the future of autonomous mobility. You'll take direct ownership of the digital systems that enable product compliance across EU and US deployment markets, helping shape how compliance is managed at scale through digital transformation and automation. Working at the intersection of technology, regulation and real-world deployment, you'll collaborate with Engineering, Regulatory Affairs, Quality and IT to build scalable compliance solutions that support the safe deployment of autonomous vehicles. YOUR ROLE AT MOIA As Senior Compliance Systems Manager, you will be responsible for defining and continuously evolving the digital systems, governance and processes that enable product compliance throughout the product lifecycle. Our product is the autonomous ID.Buzz and all the necessary systems in our ecosystem required to safely operate it with passengers on public roads. You will ensure compliance information is structured, traceable and audit-ready across products, markets and regulatory domains. By driving digitalization and automation, you'll reduce manual compliance effort, support homologation activities and enable efficient market launches across Europe and the United States. WHAT YOU WILL DO * Own and continuously improve MOIA's compliance systems strategy supporting our Product Compliance Management System (PCMS) * Design and evolve scalable compliance systems, ensuring seamless integration with engineering, quality and IT platforms * Collaborate closely with Engineering, Quality, Regulatory Affairs and IT to implement scalable compliance solutions and integrate regulatory requirements into modern software development processes and CI/CD workflows. * Establish end-to-end traceability between regulatory requirements, engineering artefacts, testing activities and compliance evidence * Drive automation and digitalization of compliance processes to improve efficiency and audit readiness * Define governance principles for system ownership, configuration and data management * Continuously improve the compliance ecosystem to support future regulatory requirements and international growth WHAT WILL HELP YOU TO FULFILL YOUR ROLE * Several years of experience designing or managing compliance systems, engineering systems or digital governance solutions in automotive or another highly regulated industry (e.g. aerospace, rail, medical devices or industrial automation) * Experience with Product Compliance, Regulatory Compliance, Quality Management, Engineering Excellence or Digital Transformation. * Experience with compliance automation platforms such as Vanta (or comparable tools), as well as enterprise engineering platforms such as Teamcenter, Polarion, Codebeamer, Jama, DOORS, Windchill, Signavio or similar. * Good understanding of modern software development processes, CI/CD toolchains and the ability to integrate regulatory requirements into engineering workflows * Strong understanding of traceability, evidence management and product lifecycle governance, with the ability to translate regulatory requirements into scalable digital processes and system solutions. * Business fluent German and English skills.
