You will: * Prepare, review, and send accurate B2B invoices in a timely manner * Generate and dispatch payment reminders to ensure smooth and prompt transactions; * Work closely with the sales team to clarify discrepancies and align on billing details; * Review invoices for accuracy, identify and resolve any errors efficiently. * Create and process invoice corrections, including managing special invoicing scenarios such as internal hardware sales. * Document and organize meeting notes, ensuring key questions and discussion points are captured. * Follow up on tasks and action items, providing regular progress updates to the Team Lead. * Maintain clear and proactive communication by keeping the Team Lead and team informed of relevant updates or changes You bring: * Basic knowledge or studies in finance, accounting or business administration preferred (understanding of basic accounting principles is beneficial, but not mandatory) * English proficiency: able to communicate effectively (written and spoken) * Intermediate level of German proficiency preferred * Adaptability and willingness to learn specific invoicing requirements * Detail-oriented eye: This role requires meticulous attention to detail to ensure accuracy in invoicing and error handling * Analytical mindset: Recognizing patterns and understanding different invoicing rules across regions requires analytical thinking. * Adaptable personality: The ability to learn and adapt to new invoicing requirements and regulations quickly * Tech-savvy: Comfortable with using financial software and tools for invoicing and record-keeping * Collaboration spirit: Works well within a team, supporting colleagues and contributing to collective goals * Availability to work 20h (preferrably 2 full days + 1/2 day) You'll enjoy this role if you are: * A Routine Enthusiast: Someone who enjoys the predictability and structure of routine tasks. Your main mission will be to take raw info, standard media plans, and complex RFPs, and turn them into visually stunning, high-converting sales decks that leave a lasting impression on top-tier brands and agencies. Additionally, you will support the sales planning team in everyday tasks to ensure seamless campaign delivery. What you´ll do Pitch Content & Campaign Support * Make our materials shine: You take our existing media plans, texts, and seasonal packages and give them a professional, clean, and modern look. You make sure our sales decks look premium and engaging. * RFP Styling: You support the team in answering client briefings (RFPs) by turning raw data and campaign strategies into beautifully structured, easy-to-read, and aesthetically pleasing presentations. * Campaign Operations: You assist the sales planning team with everyday tasks to ensure seamless campaign delivery and help keep our ad-operations running smoothly. * Social Media Playground: Got extra creative energy? THE OPPORTUNITY NavVis is on a mission to digitize the physical world — enabling organizations across industries to capture, manage, and share spatial data at scale. As we grow our presence in the Japanese market through our Reseller network, we are looking for a motivated Working Student to support our Worldwide Sales Operations team. This is a great entry point into international Sales Operations. You will work closely with experienced colleagues, help keep our Japan channel running smoothly, and gain hands-on exposure to real-world sales processes and tools. HOW YOU WILL MAKE AN IMPACT Sales Operations Support with Japan Market * Be the operational connection between NavVis and our Japan Reseller — following up on open items, coordinating requests, and making sure sales operations tasks move forward without delays. * Help track upcoming contract and subscription renewals, create quotes, ensuring timely follow-up with the Reseller and internal stakeholders. * Maintain and update CRM records (Microsoft Dynamics), keeping opportunity data, contacts, and activities accurate and up to date. * Assist with order entry and basic order tracking, flagging any issues to the team early. * Help prepare status updates and materials for Reseller check-ins and business reviews Reporting Support * Help pull together regular reports and update dashboards in Power BI based on existing templates. * Support the team with ad hoc data tasks such as data clean-up, list management, and simple analysis. WHAT WILL HELP YOU SUCCEED IN THE ROLE Language Skills * Native or near-native Japanese (written and spoken) — essential for communicating effectively with our Japan Reseller. * Good English skills to work comfortably within our international team. Knowledge & Background * Currently enrolled in a Bachelor's or Master's program, ideally in Business, International Management, or a related field. * A basic understanding of how B2B sales or reseller/channel business works is a plus. * Genuine interest in sales operations and how commercial teams run behind the scenes. Tools & Skills * Comfortable with Microsoft 365 tools (Excel, Outlook, Teams). * Familiarity with a CRM tool such as Microsoft Dynamics or Salesforce is a nice-to-have. * Basic experience with Power BI or similar reporting tools is an advantage, but we will support you in learning.
