ABOUT THE ROLE We have an exciting opportunity for a Senior Office Manager to join IMC in Hong Kong at a pivotal moment for the business. This is a hands-on, high-ownership role where no two weeks look the same: one day you’re partnering directly with the HK Managing Director on priorities, the next you’re troubleshooting a vendor issue or stepping into a project that wasn’t on last week’s list. You’re someone who thrives in a lean, fast-moving environment or a fast-growing company where you’ve had to figure things out with limited resources and no playbook. You don’t wait to be told what to do, and you’re as comfortable fixing an unexpected problem as running a structured project. You will also directly manage the Office Manager. This position requires full-time on-site presence at our Hong Kong office. YOUR CORE RESPONSIBILITIES Executive Support * Provide direct, hands-on support to the HK Managing Director across a fast-moving and constantly evolving schedule — and be willing to jump in wherever needed. * End-to-end diary, inbox, and stakeholder management, ensuring the MD’s priorities are handled seamlessly. * Coordinate executive travel — flights, hotels, and ground transport — for the MD and senior leaders. * Manage MD expenses and maintain a signatures-pending log for all documents requiring Director-level sign-off. * Prepare executive presentations, reports, briefing packs, and key business communications. * Act as a trusted liaison between the MD, senior leadership team, and external stakeholders, bringing structure and efficiency to a fast-paced environment. Meetings & Events * Lead end-to-end coordination of meetings and key strategic events in Hong Kong, including agendas, materials, minutes, and follow-up actions. * Support the Office Manager with broader event coordination across the HK office. Office Operations & Leadership * Lead the Hong Kong office expansion end-to-end, including post-move coordination and stabilisation, with support from the Sydney Office Management team. * Manage and develop the Office Manager. * Own vendor contract management and support the MD with budget tracking. * Ensure compliance with HK Occupational Safety & Health Ordinance and Labour Department requirements; oversee physical security and access control. YOUR SKILLS AND EXPERIENCE * 8–10+ years of progressive experience in office management or executive administration; track record of real ownership and impact matters more than job title. * Proven EA experience supporting executives — end-to-end diary management, travel coordination, and confidential correspondence. * Demonstrated experience leading a complex office move or large-scale facilities project. * Strong vendor management and contract negotiation skills. * Highly organised with the ability to manage multiple high-priority workstreams simultaneously under tight deadlines. * Exceptional written and verbal communication skills; comfortable engaging with and influencing senior stakeholders. * Fluent in English; proficiency in Cantonese and/or Mandarin strongly preferred. * High degree of discretion and professionalism when handling confidential matters. * Background in a lean financial services or entrepreneurial environment — hedge fund, private equity, venture capital, family office, or fast-growing start-up strongly preferred. Flow Traders is looking for an experienced Operations Specialist to join our APAC team in Hong Kong. The ideal candidate is analytically strong, proactive, and motivated to work in a fast-paced trading environment. The Operations team is responsible for trade lifecycle management, reconciliations, settlement, and control processes that directly support our trading desks. We are building a team that goes beyond traditional mid/back-office execution: we expect our specialists to deeply understand process flows and business logic, design better solutions, and leverage AI and other tools to implement them. What matters most is the ability to analyse how things work, identify what should change, and manage the migration. The role sits within our broader first-line controls function, which encompasses our traditional operations function and other First-Line controls, trade reporting, and data management. The successful candidate will join the established DCO team at QRT, working closely with Network Engineering and infrastructure teams you will be responsible for the implementation and physical deployment of electronic trading infrastructure in support of the firm’s trading activities. Your Future Role within QRT * Contribute to the design and planning of new equipment deployments in line with data centre best practices * Deploy, maintain, and decommission trading infrastructure hardware, including FPGA platforms, ultra-low-latency servers, and high-performance network switches, across a global colocation footprint * Ensure consistent build quality across structured cabling, rack layouts, power distribution, cooling infrastructure, and environmental monitoring * Coordinate installations, upgrades, capacity expansions, and decommissions with exchanges, colocation providers, hardware vendors, and onsite engineers * Support procurement, logistics, inventory management, and the movement of hardware and components between sites * Maintain accurate and up-to-date infrastructure documentation (rack elevations, patching matrices, connectivity layouts) using CMDB tools such as NetBox * Work closely with network engineering and trading teams to ensure physical infrastructure meets performance and operational requirements * Use basic scripting (Python, Bash, Ansible) to support automation, monitoring, and operational tooling where required * Ensure data centre operations meet high standards of security, cleanliness, documentation, and supply management * Install, troubleshoot, and support servers, switches, timing devices, and cabling in live environments * Provide break-fix support in a 24/7 global trading environment Your Present Skillset: * Experience working in low-latency or high-performance trading infrastructure environments (e.g. HFT, exchange colocation, market making) * Strong understanding of hardware and systems used in low-latency trading, including FPGAs, optical taps, high-performance servers, networking, and timing equipment * Solid understanding of hardware and network devices, including basic configuration * Proven experience managing vendors and delivering on-site changes and large-scale deployments to exacting standards * High standards of physical build quality, attention to detail, and operational discipline in infrastructure layout and cabling * Strong documentation skills with a focus on process consistency and operational readiness * Comfortable working in a fast-paced, globally distributed team environment * Willingness to travel internationally and provide occasional evening or weekend support as part of a flexible operations schedule * Ability to participate in an out-of-hours on-call rotation supporting global trading operations Base salary range for this position is $150,000 to $180,000 per year. QRT Total Compensation includes discretionary performance-based bonuses and a competitive benefits package.
