Title: Jewellery Operations Executive Reporting: Operations Manager, Jewellery Location: Mumbai, India Work Mode: Onsite / Hybrid Experience: 3+ years ABOUT THE ROLE We are looking for a Jewelry Operations Executive who combines a passion for jewellery with a strong process-driven mindset. You will play a central role in managing end-to-end coordination across manufacturers, customers, and internal teams, ensuring every order moves seamlessly from pre-purchase to final delivery. Your north star: driving precise, timely, and scalable order execution across the entire lifecycle. KEY RESPONSIBILITIES 1. Quotation & Pre-Sales Execution • Calculate and share accurate customer quotations within defined TATs • Ensure speed and responsiveness, as this directly impacts conversion rates 2. Order Creation & CAD Management • Raise CAD requests and purchase orders with manufacturers • Review and approve CAD files, ensuring alignment with customer requirements before production • Identify and flag discrepancies or potential issues early to avoid rework • Organise and maintain all CAD files systematically for easy access and traceability • Ensure timely receipt of CADs from suppliers and follow up proactively to prevent delays 3. Order Tracking & Coordination • Manage end-to-end order timelines, from confirmation to delivery • Coordinate closely with manufacturers, QC teams, and logistics partners • Follow up on key production milestones to ensure timelines are met 4. Exception Handling & Problem Solving • Manage remakes, repairs, resizing, and order modifications • Handle customer escalations with a solution-oriented approach • Resolve issues proactively to minimise delays and impact 5. Systems & Data Accuracy • Maintain accurate, real-time updates across all systems and trackers • Ensure complete visibility of order status at every stage 6. Process Improvement • Identify gaps, inefficiencies, and recurring issues • Suggest and implement process improvements to drive scalability and efficiency WHAT WE’RE LOOKING FOR • 3+ years of experience in operations, preferably in a high-volume or fast-paced environment • Strong Excel / Google Sheets proficiency — ability to build and manage complex trackers, formulas, and reports with ease • Highly data-driven — comfortable analysing operational data to track performance, identify patterns, and make informed decisions • Strong numerical and calculative aptitude — able to accurately compute quotations, margins, and order metrics • Proven track record in operationally heavy roles with hands-on coordination, order management, or supply chain experience. MEDIA OPERATIONS COORDINATOR LOCATION - BHARAT DIAMOND BOURSE - BKC MODE - ON-SITE REPORTING - SENIOR OPERATIONS MANAGER JOB OVERVIEW We are seeking a detail-oriented and highly organized Operations Coordinator to manage supplier coordination for Media Operations. The role focuses on ensuring the timely availability, tracking, and movement of stones in line with operational targets and company standards. The ideal candidate will work closely with suppliers, team leads, and internal stakeholders to maintain smooth day-to-day media operations while ensuring accuracy, accountability, and process compliance. KEY RESPONSIBILITIES * Coordinate with suppliers to ensure the availability of a minimum of n+10 stones per agent in accordance with company standards and operational targets. * Calculate daily operational capacity requirements and arrange stones from suppliers accordingly. * Ensure all stones sent for media are properly listed on the platform: * For FTP or direct upload suppliers, verify listings are completed before processing. * For API suppliers, ensure stones are live on the platform prior to media handling. * Coordinate with suppliers for newly manufactured stones to ensure certification and platform listing are completed before stones are sent to Media Operations. * Verify and maintain accurate records of stones received from suppliers, including total counts and accompanying stone lists. * Conduct thorough inward checks for every packet received and promptly address discrepancies such as: * Missing stones * Count mismatches * Incorrect packet contents * Share detailed stone lists with Team Leads to support operational planning and execution. * Maintain accurate inward and outward records for the Media Operations department. * Ensure acknowledgement receipts are properly signed, documented, and shared with suppliers. * Collaborate with Team Leads to plan weekly stone requirements and operational workflows. * Keep suppliers informed about updates, process changes, and developments related to Media Operations. You will play a key role in Nivoda's India fulfillment operations — managing inbound and outbound shipments, coordinating with suppliers, and ensuring our stock of diamonds and gemstones is handled with the highest standards of accuracy, security, and efficiency. WHAT YOU'LL DO * Manage inbound and outbound shipments to and from India, including documentation, carrier coordination, and exception handling. * Coordinate with suppliers across Mumbai and Surat for timely drop-offs and collections. * Own end-to-end fulfilment for Nivoda Express — managing the full order lifecycle from QC to final dispatch & returns. * Take complete ownership of Nivoda's physical stock of diamonds and gemstones, including inventory audits and reconciliations. * Handle returns, damaged goods, and shipment exceptions with precision and proper documentation. * Generate monthly and quarterly operational reports covering shipment volumes, collection performance, and carrier KPIs. * Own the creation, maintenance, and continuous improvement of SOPs across the fulfilment function — ensuring processes are clear, current, and consistently followed. * Contribute to Business Requirements Documents (BRDs), identify operational gaps, and lead process improvement initiatives that raise the bar for efficiency and accuracy across the fulfilment team. BASIC QUALIFICATIONS * 3–4 years of experience in logistics, supply chain, or operations. * Strong data analysis skills with the ability to generate clear, structured reports. * Excellent command of Excel — pivot tables, VLOOKUPs, etc. * Strong written and verbal communication skills. * Ability to thrive in a fast-paced environment while prioritising high-value shipments and tasks with precision. * Exceptional attention to detail, ensuring every item is handled with care and exacting standards. * High level of professionalism, discretion, and integrity when managing valuable assets. * Alignment with Nivoda's company values, culture, and commitment to excellence.
