The role of Commercial Hub Coordinator will be to service a range of account holders from the public and private sector in administering new and existing private hire bookings from start to finish. The primary activity of this role is data entry, with the remaining responsibility to make bookings via inbound and outbound calls, manage email inbox and booking portals. Providing a seamless booking experience is paramount in being successful in this role. Reporting into the Commercial Team Manager, your role will involve providing day to day administrative support for Commercial Account holders and Driver Partners. The core shift pattern for this role will be Monday to Saturday, with a varying shift pattern between core hours of 06:00 to 22:00 Who are Veezu? What you’ll do: * Managing and accurately inputting large volumes of data on a daily basis * Handle inbound and outbound calls to assist with all aspects of new and existing bookings, assisting a range of regional & national account holders * Providing well structured and articulated replies to emails from account holders to assist in making new bookings, providing quotes and answering general enquiries around their transport needs. * Ensure account holders can provide key information specific to their account to adhere to GDPR and security requirements. * Monitor the internal dispatch system to ensure punctuality on commercial account bookings is achieved throughout the working day by liaising with Commercial Booking Centre colleagues and Veezu driver partners. * Liaise with the Commercial Account Team and other internal stakeholders to feedback and resolve any issues arising from Commercial bookings and ensure account holder retention is maintained. * Ensure compliance and safeguarding is maintained at every stage of the booking and dispatch process, and escalating any concerns relating to compliance and safeguarding to the relevant departments and account holders. * Update Public sector portals with KPI time stamps. * Have an understanding of key performance indicators and service level agreements on a range of commercial accounts. * Ensure call handling time is efficient, whilst also seeing to it that the call is resolved to the customers satisfaction and all data is captured. * Ensure that customer, passenger, Driver Partner & colleagues’ information is safeguarded at all times, in line with the General Data Protection Regulation (GDPR) * Be committed to maintaining our ISO27001 certification and set high standards for Information Security compliance What you’ll need: * Attention to detail: Strong attention to detail with a focus on accurate data entry. * Communication: Excellent verbal and written communication skills, with the ability to engage and build rapport with customers. * Customer-Oriented: Strong customer service skills and ability to manage customer relationships professionally. * Multitasking: Ability to handle multiple tasks simultaneously while maintaining attention to detail. * Computer Literacy: Proficiency in call center software, Microsoft Office and the ability to learn and operate new systems. * Time Management: Ability to manage time effectively and prioritize tasks in a fast-paced environment. Your role at Veezu: As a Home to School Pricing Assistant, you will be responsible for leading the end-to-end pricing and submission process for all Local Authority home-to-school tenders. This role will play a critical part in securing new business by ensuring accurate, competitive, and timely tender submissions across a range of procurement portals. You’ll be the central point of ownership for pricing strategy, submission quality and compliance - escalating commercial competitiveness with operational viability. You will need to be a highly organised individual who can keep track of multi tenders across various geographical locations, ensure documentation is sent and received in a timely manner and always ensure completion of business essential documentation. What you’ll do: Tender Management * Managing and coordinating the full tender submission process for Local Authority home-to-school transport contracts. * Prepare, review and submit pricing proposals via multiple procurement portals (e.g. Proactis, ADAM, YORTender). * Analyse tender requirements, specification and pricing structures to ensure full compliance. * Track all tenders and their outcomes, providing insight into win/loss performance to refine future bids. * Track no bid tenders to help identify shortages of resources within areas. * Work closely with CAH and Account Managers to notify in a timely manner of awards * Continuously review and improve pricing processes, tools, and submission quality * Support the businesses HTS Strategy – by highlighting resource issues. * Provide support on additional pricing exercises as and when required by the commercial team, including PTS/NHS Tenders and private tenders. Integration * Work closely with the M&A/ Integration team to ensure a smooth transition for tendered routes within an acquisition. * Work closely with Head of Bids and Tenders to ensure new Frameworks and portals are accessible straight away, enhancing growth opportunities * Adopt a strong handover process to ensure key information is communicated. Ensuring all stakeholders are communicated with. General * Support members of the wider Group Commercial team as and when required.
